Organization Overview

Science Club for Girls (SCFG) fosters the excitement, self-confidence and literacy in science, technology, engineering and mathematics of girls, particularly those from underrepresented groups, through free, experiential programs, and by maximizing meaningful interactions with women mentors in STEM.

Science Club for Girls has grown substantially in our programmatic areas in the past few years. We have broad ideas about what needs to be created operationally to lay a firm foundation for future growth. Our staff are a dedicated team of independent thinkers and excellent communicators, each with their own strengths to share. Job Responsibilities

Science Club for Girls is looking for an experienced problem solver and effective business manager to create, manage and oversee user-focused systems, infrastructure, policies, training and documentation for the organization’s operations, in the cloud and in the office. The Business Manager works closely with the Executive Director and coordinates with the senior leadership team to diagnose assets and inefficiencies. The Business

Manager will create achievable goals to elevate our operations to meet current and future needs. Core areas of responsibility include but are not limited to the following:

Office Management and Administration

  • Create and maintain physical and online filing systems and archives for programs, operations and the board
  • Maintain and coordinate contacts, donor, student and volunteer records in Salesforce
  • Manage snail mail, general email and voicemail systems and day-to-day responses
  • Manage and maintain physical facilities and office supplies
  • Assess technology needs and maintain office equipment

Financial Management and Development Support

  • Maintain audit-ready system for financial transactions, including staff training
  • Oversee bills, invoices, reimbursement and payroll
  • Process and acknowledge grants and donations
  • Assist Executive Director in annual audit
  • Generate monthly reports for finance committee and program directors
  • Support fundraising activities, event planning logistics, including annual appeals, as directed

Human resources

  • Integrate recruitment and hiring with database
  • Maintain personnel files and benefits records
  • Develop and deliver operations-related training and orientation for staff
  • Maintain the operations wiki


Requirements

  • Minimum 3 years experience in office management, bookkeeping, or operations
  • Experience developing policies and procedures
  • Excellent written and oral communication skills
  • Proficiency with MS office suite and GoogleDocs
  • Familiarity with Quickbooks and Salesforce or similar databases highly preferred
  • Ability to prioritize, plan, multitask, meet deadlines, and maintain a high degree of accuracy and detail
  • A positive attitude; professional and friendly disposition; good sense of humor
  • Commitment to our mission
  • Basic skills in maintaining hardware and software preferred
  • Experience managing volunteers and interns for special projects a plus
  • Bachelor’s degree or equivalent experience
