Financial Administrator

Position Summary
The Financial Administrator is responsible for providing administrative and financial management support to the Grants Management and Compliance Team. This position will play a key role in billing functions for assigned areas of the organization, as well as serving as back-up reviewer for monthly expense requests submitted by sites.
SPECIFIC RESPONSIBILITIES
Billing and Reporting to Funders:
- Work with Financial Grants Managers in the preparation of bills and/or drawdowns of internal (aka “parent”) expenses for grants/contracts on a monthly basis
- Assist in the preparation of drawdowns of sub-awardee expenses on federal funders
- Prepare time billing tables based on salary posting and timesheet information
- Assist in reconciliation of accounts receivable accounts for grants/contracts
- Gather and photocopy back-up documentation for monthly invoicing to funders
Reconciliation of Monthly Expense Requests:
- Review expenses submitted by sites for reimbursement, ensure all necessary documentation has been submitted, and determine if costs are allowable per the Office of Management and Budget Circular A-122 and sub-grantee’s agreement
- Assist in follow-up with sites to ensure timely submission of required documents
- Work closely with Financial Grants Coordinators in the preparation of the monthly reconciliation status reports
- Assist in the sorting/organization of electronic files submitted by local sites
- Other tasks as assigned
Desired Skills, Characteristics, and Experience
The ideal candidate will have:
- At least one to three years of experience in bookkeeping and/or grants management or comparable experience, preferably with federal funders
- General Knowledge of OMB Circular A-122, preferred but not required
- Associate’s Degree or higher
- A record of accomplishment working in diverse, entrepreneurial work environments;
- Ability to work with a large volume of files and documentation
- A demonstrated ability to think and act strategically, tactically, and creatively in a fast-paced environment;
- Excellent verbal and written communication skills;
- Ability and comfort with multiple projects having different foci and deadlines;
- A customer service orientation; and
- Ability to be flexible
