Program Coordinator (Hibernian Hall) – Full-time

Madison Park Development Corporation (MPDC) seeks a self-motivated professional with unwavering integrity and dedication. Reporting to the Artistic Director and Vice President of Programs, you will provide operating support to the Hibernian Hall Artistic Director, while being afforded opportunities for professional development in the areas of arts administration and production management.

Responsibilities:

  • Venue Services. Negotiate terms and conditions with rental clients in accordance with written policy guidelines, and prepare contracts for signature by Artistic Director. Interact with Finance Department in receiving and refunding security deposits as well as collecting and banking payment of rental fees. Assign on-call event staff and enter timesheet data for payroll. Conduct customer satisfaction surveys and keep files of current and completed contracts. Schedule and coordinate use of ballroom and conference room by other MPDC departments.
  • Performance Series. In preparation for stage plays and other forms of performing arts, assist in auditions, rehearsals, and regular crew meetings. During production week serve as liaison with stage manager, designers, and technicians. During performance runs serve as house manager, coordinating welcoming signage, box office operations, audience seating, safety announcements and intermission refreshments. Print and distribute program notes. Compile audience contact information.
  • Interdepartmental Relations. Serve as regular point of contact between Hibernian Hall and program staff of Community Action Department. Interact with Resource Development Manager in planning and implementing membership benefits for Friends of Hibernian Hall, including quarterly pre-performance receptions and admission discounts. Serve on interdepartmental team to organize the annual fundraising gala event, “Sparks for Arts.” In the process of audience development, provide Communications Manager with photographs, sound files and video clips taken at rehearsals, performances, and public events for posting to website and social media sites.
  • Facility Management. Achieve Commonwealth of Massachusetts certification as a Crowd Control Manager, familiar with public safety regulations as they pertain to Hibernian Hall. Advise customers on City of Boston rules and procedures regarding the sign law, entertainment permits and one-day liquor licenses. Maintain ongoing relations with caterer who is lessee of kitchen, arranging repairs of major appliances, and track monthly payments to Finance Department. Coordinate communications with cleaning contractor including monthly processing of invoices with Finance Department.
  • Inspections and Insurance. As assigned from time to time by Artistic Director, cooperate with MPDC’s property management company in regular inspection of fire escape, fire extinguishers, sprinkler system, elevator, dumpster enclosures, and stove ventilation. As needed, assist in annual renewal of public assembly permit and certificate of building inspection. Monitor account and prepare monthly reports and payments to issuer of TULIP, Tenant-User Liability Insurance Policy.

Qualifications:

  • College degree in a pertinent subject or equivalent experience of 3 to 5 years of marketing and customer service with progressive responsibilities.
  • Must have strong verbal and written communication skills, attention to detail and ability to manage multiple projects and organize time to achieve long and short term goals.
  • Contract negotiation experience and familiarity with performing arts venues and productions preferred.
  • Must be proficient in Microsoft Outlook, Word, Excel, Publisher and PowerPoint.
  • Familiarity with iContact and Vendini, or similar marketing and ticketing software, preferred.
  • Salesforce or other CRM database experience preferred.
  • Graphic design experience preferred.
  • Availability and willingness to work a flexible and variable schedule according to the demands of event supervision and programming, approximately half-time in the office during office hours and half-time in the third floor ballroom during weekday evenings and anytime on weekends. Shifts of 3:00 p.m. – 11:00 p.m. as well as 9:00 a.m. – 5:00 p.m. will be common, depending on circumstances of the day.
