Administrative Assistant II and Health/Wellness Coordinator

Massachusetts College of Art and Design seeks to hire a Administrative Assistant II and Health/Wellness Coordinator. This position is responsible for the day to day operation of the office of Counseling and Wellness Center. Secondary responsibilities are to provide administrative support to the Student Development Division.

The Health/Wellness Coordinator will be supervised by the Director of Counseling and Wellness and will supervise work study students.

95% – Provide support to Counseling and Wellness Center including:

  • Develop and maintain office procedures to ensure smooth functioning of the office; including ordering supplies, prioritizing, and appropriately assigning work
  • Compose and distribute correspondence, reports, statistical materials, etc.
  • Back up data and keep accurate files.
  • Design and produce posters, flyers, brochures and policy forms
  • Schedule appointments for the professional staff and counseling trainees and prepare file folders
  • Pick up, sort, open and distribute mail
  • Greet students, answer routine questions, and hand out forms and other related materials
  • Coordinate educational health and wellness programs and implement these programs in collaboration with counseling interns, members of Counseling Services and Student Development. This includes programs related to substance use/abuse, sexual assault, eating disorders/body image, STD’s, smoking cessation, Art and Healing, LGBT health and HIV/AIDS
  • Order materials for wellness programs and have knowledge about comparable programs at other colleges
  • Collaborate with other offices on campus, such as academic affairs, residence life, student health services, student activities, to plan health prevention programs, addressing current trends among college students as it relates to wellness programs
  • Maintain website and social media outlets regarding health and wellness activities and counseling issues
  • Reserve rooms for Counseling and Wellness functions/events
  • Communicate with Office of Administration and Finance and insurance company regarding insurance issues and related budget issues
  • Collect and maintain immunization records for undergraduate students
  • Be a resource for students and families related to school health insurance, and policies regarding health insurance and immunizations
  • Work with Health Services to publicize hours and other relevant medical information pertaining our students
  • Complete projects as assigned by Director of Counseling Services
  • 5% – Provide general support to the Division, including:
  • Meet with the Staff Associate to the Vice President monthly to discuss projects and items of importance
  • Reception responsibilities for all departments within the Student Development Division when needed
  • Equipment maintenance (shared copy machine, fax machine, etc)
  • Mail runs when work study student is not available
  • Complete projects and other duties as assigned

Review of applications will begin on Friday, May 9, 2014 and will continue until the position is filled.

REQUIRED MINIMUM QUALIFICATIONS:

Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, or (B) any equivalent combination of the required experience and the substitutions below.

Substitutions:

I. An Associate’s or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.

II. An Associate’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*

In addition the college also seeks:

  1. Demonstrated interest in, and knowledge of, programming on issues related to health and wellness and public health
  2. Strong computer skills
  3. Self motivated, independent, highly organized and efficient
  4. Ability to express oneself in oral and written communications
  5. Ability to work effectively with staff, students, faculty and employers
  6. Data entry and records management experience
  7. Experience with Microsoft Office and information systems
  8. Previous experience working in an office environment
  9. Ability to work in a fast-paced environment, handle multiple projects, and meet established deadlines

PREFERRED QUALIFICATIONS:

  1. Bachelors degree in psychology or health and human services strongly preferred
  2. Interest in mental health and counseling issues
  3. Experience working with art students
