Position Summary

The Financial Administrator is responsible for providing administrative and financial management support to the Grants Management and Compliance Team. This position will play a key role in billing functions for assigned areas of the organization, as well as serving as back-up reviewer for monthly expense requests submitted by sites.

SPECIFIC RESPONSIBILITIES

Billing and Reporting to Funders:

  • Work with Financial Grants Managers in the preparation of bills and/or drawdowns of internal (aka “parent”) expenses for grants/contracts on a monthly basis
  • Assist in the preparation of drawdowns of sub-awardee expenses on federal funders
  • Prepare time billing tables based on salary posting and timesheet information
  • Assist in reconciliation of accounts receivable accounts for grants/contracts
  • Gather and photocopy back-up documentation for monthly invoicing to funders

Reconciliation of Monthly Expense Requests:

  • Review expenses submitted by sites for reimbursement, ensure all necessary documentation has been submitted, and determine if costs are allowable per the Office of Management and Budget Circular A-122 and sub-grantee’s agreement
  • Assist in follow-up with sites to ensure timely submission of required documents
  • Work closely with Financial Grants Coordinators in the preparation of the monthly reconciliation status reports
  • Assist in the sorting/organization of electronic files submitted by local sites
  • Other tasks as assigned

Desired Skills, Characteristics, and Experience

The ideal candidate will have:

  • At least one to three years of experience in bookkeeping and/or grants management or comparable experience, preferably with federal funders
  • General Knowledge of OMB Circular A-122, preferred but not required
  • Associate’s Degree or higher
  • A record of accomplishment working in diverse, entrepreneurial work environments;
  • Ability to work with a large volume of files and documentation
  • A demonstrated ability to think and act strategically, tactically, and creatively in a fast-paced environment;
  • Excellent verbal and written communication skills;
  • Ability and comfort with multiple projects having different foci and deadlines;
  • A customer service orientation; and
  • Ability to be flexible
